Call for Officer/Trustee Nominations and Council Member Volunteers

The American Dental Assistants Association is planning for the future and requests your assistance in nominating potential leaders for the coming year. All of us probably know an ADAA member who is highly motivated, organized, and thoughtful with a passion for dental assisting and the ADAA. These are all qualities that are necessary for successful leaders.

Please thoughtfully consider nominating a qualified member (or yourself) to serve an Officer, State District Trustee, and Student Trustee. Your thoughts, concerns and vision regarding dental assisting will help to move the Association forward and provide enhanced benefits to its members. All nominations must be received by the ADAA central office by June 30, 2014.

If you would like to nominate someone for an Officer or Trustee position, please be sure that they are willing to serve. Self-nominations are welcomed and are encouraged. If the time is right for you to serve, do not hesitate to nominate yourself.

Elected Officers
Active, Life, and Special members are eligible to serve as elected officers. There are two pathways for which candidates may qualify to serve: 1) The candidate must have served as an ADAA State District Trustee; or 2) the candidate must have served a term as an ADAA Council member AND a full term as an elected officer of a State Association. Nominations are being accepted for the following offices for 2015:

President-Elect – This office has a three year commitment. The member serves as President-elect for one year then will serve as President the next year, and Immediate Past President the third year

Vice-President – one year term

Secretary – one year term

The Major responsibilities of these offices are:

President-Elect
Succeed to the office of President without further election at the next Annual Session of the American Dental Assistants Association.

Succeed to the office of President in case of vacancy in that office.

Assist the President as requested.

In the absence of the President, the President-Elect shall assume the duties of the President.

Serve as a member of the Board of Trustees, Executive Committee, and Council on Finance and attend all meetings.

Serve as Chairman of the Council on Annual Session.

Serve as Council on Governance, Subcommittee Chair on the New Officer and Trustee Manual Committee.

Plan the Installation Ceremony.

President
Serve as chief elected officer and official spokesperson of the Association.

Serve as chairman of the Board of Trustees and supervise all Board activities.

Preside at all meetings of the House of Delegates, the Board of Trustees, and the Executive Committee.

Appoint chairmen and members of councils and special committees.

Provide a President's Message in each issue of The Dental Assistant.

Serve as an ex-officio member to all Councils and Special Committees, except the Nominating Subcommittee.

Serve as a member of the Council on Finance.

Represent the Association at dental and dental related meetings when fiscally feasible.

Immediate Past President
Assist the President as required.

Act as a resource for the President.

Act as a liaison between the Past Presidents' Council and the ADAA Board of Trustees.

Serve as a member of the Board of Trustees, Executive Committee and the Council on Finance and attend all meetings.

Serve as a member of the Subcommittee to Review Annual Session Minutes.

Participate in the video/phone conference call interviewing candidates for the Student Trustee position.

Plan the Past Presidents’ event held during Annual Session.

Vice-President
Assist the President as requested.

Serve as a member of the Board of Trustees, Executive Committee and Council on Finance and attend all meetings.

Serve as member of the Council on Annual Session.

Serve as Chair of the Council on Strategic Planning.

In consultation with Central Office Staff, oversee the purchase of the pins, guards and awards that will be presented to recognize the incoming President, retiring President, Officers, and Trustees.

Secretary
Serve as a member of the Board of Trustees, Executive Committee, and Council on Finance and attend all meetings.

Complete Motions, Directives and Consensuses with upcoming deadline dates from all of the regular and/or special Board of Trustees Meetings and send it to the Board of Trustees, Executive Director and appropriate staff members within two (2) weeks of the meeting.

Record and prepare minutes of all Board of Trustees, Council on Finance, Executive Committee, Executive Session, and House of Delegates.

Prepare electronic mail ballots at the President's direction.

Prepare the Board of Trustees Annual Report to the House of Delegates.

Elected State District Trustees
A State District Trustee shall be a legal resident of the district which he/she represents. The State District Trustee shall be an active, life or special member and shall have served a term as a member of an ADAA committee or council or as an officer of a State Association.

‚ÄčThe ADAA is also seeking nominations for the following State District Trustees. Trustees serve a three year term and may serve two consecutive full terms.

Second District – New Jersey, New York, Pennsylvania

Third District – Delaware, Washington DC, Maryland, Ohio, Virginia, West Virginia

Sixth District – Illinois, Indiana, Michigan

Ninth District – Arkansas, Louisiana, Oklahoma, Texas

The primary duties of the State District Trustee are as follows:

Serve as a member of the Board of Trustees and act as advisor and liaison to the State Associations and Local Organizations within the district.

Communicate to members within the Trustee’s district after each Board meeting to transmit Board actions and ADAA activities within 30-60 days.

Conduct a caucus at the Annual Session to review, discuss and explain the issues which will be acted upon by the House of Delegates. Credential delegates during caucus meeting in accordance with the Credentials Subcommittee guidelines.

Initiate and maintain liaison with other allied health organizations.

Attend all meetings of the Board of Trustees.

Attend all meetings of the House of Delegates and district caucuses scheduled during the Annual Session.

Visit each state within the district once a year as allocated in the budget and address the membership.

Send a copy of the current State Association Officers form and Local Organization Officers form to the State Associations within the district.

Attend major Regional Dental Meetings in their District and assist with the organization and staffing of the ADAA Membership Booth and any ADAA educational programs as requested by the ADAA President.

Appointed Student Trustee
Any active, life, or special member of the ADAA, a Student Chapter, Local or State Organization, or a Trustee District may nominate candidates for Student Trustee. The Student Trustee must be a Student member of the ADAA, a member of a SADAA Chapter, and graduate or have graduated from a dental assisting program of at least 800 hours within 12 months of the application deadline. The Student Trustee is a one-year term with a maximum of two consecutive terms.

The Student Trustee represents all SADAA chapters and student members in all districts.

The Student Trustee is responsible for the following duties:

Serve as a member of the ADAA Board of Trustees and attend all meetings.

Serve as the Chair of the Council on Student Relations.

Read and respond to Association e-correspondence on a weekly basis.

Establish and maintain contact with all SADAA Chapter Presidents and/or Advisors.

Maintain and update records of all SADAA Chapters.

Write an article for the student page in the ADAA Journal.

Write a Trustee Report for each Student Newsletter.

Work with ADAA staff to oversee the Student Newsletter.

Appointed Members: Councils and Committees

Active, life, student, and special members are also needed to serve on ADAA Councils and Committees. A listing of current Councils and Committees and an application form may be found at: http://www.dentalassistant.org/Content/Details/CouncilsCommittees.

Any qualified ADAA member who is interested in serving as a member of an ADAA Council or Committee is encouraged to submit the ADAA Council Application Form and Commitment to Serve Form by June 30, 2014. The incoming president will be appointing members to fill vacancies on existing councils and Committees by mid-October 2014.
